<p>Kim Olesen, B.Sc.,C.P.P., Distribution Manager of Innovative Chemical Technologies Canada Ltd. (ICTC), is the Project Manager for the selection of a Process Manufacturing ERP (enterprise resource planning) system and worked on three other implementations in previous positions from a very large corporate environment to a small company size.  Olesen selected O2, by Escape Velocity Systems (www.evs-sw.com) for a variety of reasons including:</p>
<p>&#13;</p>
<p>•	How the system handled QA/QC<br />&#13;</p>
<p>•	The system&#8217;s ability to produce the necessary MSDS and TDG (transportation of dangerous goods) reporting and labeling<br />&#13;</p>
<p>•	The system&#8217;s ability to integrate blending and production (process manufacturing)<br />&#13;</p>
<p>•	The system’s ability to simplify the company’s commercialization process by ensuring that product is put into the right package with the right MSDS and TDG labeling and will also address the safety requirements<br />&#13;</p>
<p>•	Sage MAS 500&#8217;s accounting/financial backbone is very strong with excellent drilldown and reporting capabilities, audit trails</p>
<p>&#13;</p>
<p>What prompted the need for this new ERP system was the rapid growth ICTC experienced in recent years. According to Olesen, “We needed a system that would handle growing financial and process manufacturing needs; with O2 by Escape Velocity Systems, ICTC was able to get the scope and breadth out of the system needed plus the ability of the system to scale as ICTC continues to grow.”</p>
<p>&#13;</p>
<p>Morphix Business Consulting (www.morphix.biz), the strategic alliance consulting firm working with Escape Velocity Systems, was instrumental in helping ICTC select O2.  Morphix came into ICTC very “low key” without pressure to buy; spoke about needs, business issues and pains without software pushing.  The initial consultation was followed up with a demonstration to the main ICTC contact who was quite excited with the initial presentation and Morphix followed up with a second demonstration with a few other key players including lab and sales and the direct reporting vice-president.</p>

<p>ICTC&#8217;s next step was to take to the project to the executives (including President/CFO); following this demonstration Morphix was asked to prepare a quote immediately; the project was approved without being budgeted (extra-ordinary purchase).  Customer testimonial on the software solution were shared and Morphix had patience with ICTC during the buying process (15-month buying cycle), and helped with proving the ROI (return-on-investment) in the ERP purchase. </p>

<p>A lot of times ROI is expressed in a dollar amount: The investment of a futures contract has a return: By buying a futures contract and selling it later at a higher price, the trader can make money. If he or she buys a contract at 0 and sells it at 0, the return on investment (ROI) is . This figure is derived from subtracting the final result of 0 from the initial investment of 0.  was the amount made. Conceptually,  is the return that the person received from investing 0.</p>
<p>While that is a nice, basic way to calculate ROI, and it&#8217;s useful in many situations, Return on Investment, though, can be more complex to figure out than that, especially when anticipating what ROI could be. Even if the positive return on investment is good, if that money could be better spent on something else, then the return might not be as favorable. <p>ROI (Return on Investment) is probably the most important calculation one needs to make to ensure the long-term viability of their business. It is not enough to build in a profit margin on the product or service being offered. One must track with proficiency the amount of dollars being invested into attracting sales and how much ROI those dollars put back into the business. If the investment meets too little return, a product line is doomed to fail in the long-term.<br />
THE BASIC ROI PERCENTAGE CALCULATION<br />
Many experts seem to agree, that calculating an accurate return on investment (ROI) is not an easy thing to do.<br />
I do not intend to give you a thorough analysis of the ROI calculation process. Calculating an accurate ROI is hard to do, but explaining the full scope of ROI calculations in less than 1000 words is far more difficult.<br />
As such, this article is only intended to introduce you to the basic concepts behind ROI calculations. Here is a very basic equation for calculating the ROI:<br />
ROI = [(Payback - Investment)/Investment)]*100<br />
Your payback is actually the total amount of money earned from your investment in your company. Investment relates to the amount of resources put into generating the given payback.<br />
You should run ROI calculations on both monthly and yearly timelines.<br />
IMPROPER CALCULATIONS BY MANY SMALL BUSINESS OWNERS<br />
The actual amount of investment into a business is often misunderstood by the business owner. As a result, true ROI calculations for most small businesses are skewed.<br />
Most small business owners make their mistake in this most necessary calculation, because they do not properly value their own time. Please note that when I previously defined investment, I stated that it relates to the amount of resources put into generating the payback.<br />
Indeed, resources includes cash money. But, it also includes human resources or time.<br />
If most small business owners would value their hours at the minimum wage, and calculate their time into the investment equation, they would soon realize that their small business is running in the red!<br />
Some small business owners will finally run ROI calculations including the human resources, and suddenly realize that they could make more money working a job. If the small business owner has been running their business for a really long time, struggling to make ends meet, they might see this calculation and close their doors once and for all.<br />
PLEASE DO NOT LET ME DISCOURAGE YOU<br />
I do not share this revelation with you so that you will close your business down. Quite to the contrary. I share this with you so that you can see the big picture and start running your business in a way that will actually generate a real profit for you and your business.<br />
If you are within the first two years or five years of the start of your business, then running in the red should not be thought of as a bad thing. However, if you are ten years into your business and earning less than minimum wage from your business, there is a serious problem afoot that needs to be addressed</p>

STARTING OUT<br />
When you are just beginning your own business, you have plenty of time on your hands. This is the reason why most small business owners do not properly count their time in the ROI equation. They just look at cash expenditures and incoming monies, and they are satisfied with that calculation.<br />
It is often said that people generate the kind of results that they believe they can achieve or the kind that they want to achieve. Seeing the goal is the first step to achieving the goal. Expectations will always bring results equal to the expectation.<br />
Having been down the business startup path before myself, I too understand the desire to calculate ROI without consideration to the time invested in the enterprise.<br />
However, I also understand the importance of placing a value on my time and working that into my final numbers.<br />
In the beginning, I ran two types of ROI calculations: all resources exempting my time, AND all resources including my time.<br />
Of course, I actually set a higher expectation for my own income level. First, I had decided on ten dollars an hour for my time. Later, I adjusted that amount upward.<br />
Starting out, even though I ran two versions of my ROI</p>
<p>calculations, I relied first on my resource excluding my own time. Once I had achieved this goal, then I refocused my attention to reaching the ROI which took into account my own time.<br />
Now, that time has passed, I can go back and look at my yearly ROI and see that I have earned enough cash to pay for those early days of famine.<br />
THE SECRET OF TURNING ROI CALCULATIONS INTO SUCCESS<br />
Every step in your business startup is a calculated guess as to what you believe you can achieve.<br />
Measuring your results is essential to making your business profitable. ROI measurements are imperative to measuring and understanding the results you are achieving with your new or existing business.<br />
Take into account all factors relating to the profitability of your business and do not smudge on the facts to make it seem more profitable than it really is. It is important to approach your business and your business results with absolute honesty. Be honest with yourself and face the facts of your task.<br />
An honest examination of your business at regular intervals will help you get on and stay on track to keep the doors of your business open. You will thank yourself later.</p>

<p>It&#8217;s a question I&#8217;ve been asked by clients, seen on LinkedIn and other online forums, and a problem I had to help solve while working in the marketing/PR department of multiple software companies. Since free trial offers are a main source of lead generation for many B2B software companies, it&#8217;s imperitive that these leads are converted if sales revenue goals are to be met.</p>
<p><strong>Free Trials Alone Won&#8217;t Sell Software</strong></p>
<p>I believe the root of this problem comes from the mentality of many software marketers that once a prospective customer uses their software they&#8217;ll love it, and once they love it they&#8217;ll eagerly pay money to have it. The prospect will convert from lead (free trial user) to paying customer without much influence from marketing or sales because the software will basically sell itself.</p>
<p>Unfortunately this way of thinking doesn&#8217;t take into account:</p>
<p>Prospects are probably not only using your free trial, they are also using other vendor&#8217;s trials for comparison Prospects are busy and may only spend a few minutes with your software then not use it again Prospects may not understand how to use your software correctly and therefore not experience its full value Most B2B software sales involve several people making the purchase decision, so unless all of them are using your free trial, you&#8217;re not influencing everyone you need to in order to close the sale</p>
<p><strong><br />
Focus on Lead Nurturing</strong></p>
<p>Having a lead nurturing program specifically for free trial users is the most effective method I&#8217;ve found for converting them into sales. It&#8217;s important to note that free trial users are usually further along in the sales cycle than most leads, meaning they&#8217;re usually past the &#8216;information gathering&#8217; stage and into the &#8216;evaluation&#8217; stage. Follow-up contact with free trial users needs to focus on providing information that makes it clear:</p>
<p>How your software is different from and better than competitors How using your software is better than trying to solve their problem themselves</p>
<p><strong><br />
Lead Nurturing Tactics</strong></p>
<p>There are many ways to nurture leads, but here are a few that I&#8217;ve found to be successful. If at all possible, invest in marketing automation software (such as <a onclick="javascript:pageTracker._trackPageview('/outgoing/article_exit_link');" rel="nofollow" href="http://www.genoo.com/?ref=4acb78a3dbd2f">Genoo</a>) and a solid CRM system (like <a onclick="javascript:pageTracker._trackPageview('/outgoing/article_exit_link');" rel="nofollow" href="http://www.salesforce.com/">Salesforce.com</a>) to ensure timely follow-up and the ability to track the success of your lead nurturing program and optimize it for even better results as time goes on.</p>
<p>Email</p>
<p>When prospects submit their personal information to register for your free trial, offer a simple way to opt-in to receiving emails from your company. To encourage prospects to opt-in, offer a valuable &#8216;how to&#8217; guide or other marketing asset that they immediately receive.</p>
<p>Send a confirmation email to all prospects thanking them for registering for the free trial, and include a link to brief instructional materials or FAQ document that they can download to ensure they use your software trial correctly. If you offer customer support to free trial users, make sure to explain how to get help. Ask the prospect if there are other people in their organization who are evaluating your software who would like to participate in the free trial, and provide an easy, fast way for them to send the trial info to colleagues. If possible, send the email from the salesperson that is assigned to the lead, and provide that salesperson&#8217;s contact information.</p>
<p>If free trial users haven&#8217;t converted into buyers by a certain time period (whatever is appropriate for your particular software) and have opted-in to receiving emails, send them a link to a document, video, podcast, or other marketing asset directly comparing your software to competitors. You might also send a link to a case study describing the success of a customer that is similar to the prospect. One client I worked with had great success with a case study we did on a customer that had switched to their software from a competitor.</p>
<p>If it&#8217;s possible, send prospects a link to an ROI calculator or some method for prospects to calculate how much money or time they can expect to save or amount of revenue they can expect to generate, etc. by using your software.</p>
<p>Direct Mail</p>
<p>Use direct mail to send marketing materials discussed above to prospects who don&#8217;t opt-in to emails. You can send the materials themselves, or send postcards with links to get the materials online.</p>
<p>Phone</p>
<p>The salesperson assigned to the lead should call the free trial user 2-3 days after they register, simply introducing themselves and inquiring as to the user&#8217;s experience with the trial so far, if they have any questions, etc. Ask prospects what problem(s) they&#8217;re having that drove them to evaluate your software, which is a good way to break the ice and engage the prospect in a conversation about their needs and how your software can help solve them.</p>
